Salary: £25,480 pro-rata

Hours: 28 hours per week (Monday to Friday, with occasional evening and weekend work – working pattern four days out of five – set working days to be agreed)

The Role

As Volunteer Co-ordinator, you will play a vital role in supporting and developing Healthy and Active in East Kilbride’s volunteer programme. Your responsibilities will include recruiting, training, mentoring, and managing volunteers, ensuring they are equipped to support the organisation’s goals and the people in our town. You will act as a key point of contact for volunteers, creating a supportive, welcoming and inclusive environment.

The Person

To be considered for the role you must be able to demonstrate your background in working with volunteers within the charitable sector.

The ability to work with people from a diverse range of backgrounds is important, as is the ability to work effectively on your own, or as part of a wider team.

A motivated individual with a ‘can do’ attitude is a must, and previous experience in a similar role is required.

Responsibilities

Volunteer Recruitment and Management

  • Actively recruit volunteers through various channels, including social media, community networks, and events.
  • Conduct interviews and onboarding sessions to ensure volunteers align with the organisation’s value, goals and needs.
  • Maintain accurate records of volunteer information, availability, and skills in an up-to-date database.
  • Process and maintain PVG records.
  • Develop and deliver comprehensive training sessions tailored to the roles and responsibilities of each volunteer.
  • Attend local meeting and events promoting the organisation and volunteering opportunities.

Volunteer Support and Communication

  • Provide ongoing mentoring and supervision to volunteers, ensuring they feel supported and valued.
  • Conduct regular check-ins and evaluations to address any concerns, provide feedback, and celebrate achievements.
  • Manage communication channels to ensure accessibility, including email distribution lists, WhatsApp groups, and other platforms.
  • Organise and participate in volunteer recognition programs and special events.
  • Plan and organise an annual calendar of events for volunteers, acknowledging and celebrating their contribution to the success of the organisation.

Administration

  • Match volunteers to suitable opportunities based on their skills and interests.
  • Maintain a list of volunteer opportunities and range of 
  • Maintain schedules and records of volunteer activities, ensuring compliance with organizational policies.
  • Prepare codes of conduct and operating procedures that reflect the organization’s mission and values.
  • Ensure policies and procedures for Investing in Volunteers accreditation are up-to-date and adhered to.
  • Collect and analyze volunteer feedback to improve the programme and enhance satisfaction levels.

 

Person Specification

Essential Qualifications and Experience

  • Proven experience as a Volunteer Co-ordinator or in a similar role.
  • Demonstrated experience in recruiting, managing, and supervising volunteers.
  • Strong track record in organizing volunteer programs and events.
  • Working knowledge of databases and Microsoft Office applications.
